Council retention schedule

Our retention schedule sets out:

  • the different types of information held by the council
  • how long information is kept
  • reasons for keeping information
  • what happens when we no longer needs to keep information (for example, secure and confidential disposal, or transfer to York Explore Archives for permanent preservation)

It applies to all records, regardless of format, and is arranged in sections as described in the local government classification scheme and not by our current directorate, services, or team names.

You can view the City of York Council Retention Schedule via City of York council retention schedule.

The information is provided in Microsoft Excel format. If you require it in an alternative format, please see how to request an alternative format.

We aim to follow the retention schedule as closely as possible. However, there may be occasions where this is not feasible. We are actively working to address these gaps.

There are also temporary exemptions to the schedule. These typically relate to:

  • ongoing cases
  • court orders or other legal actions
  • active Freedom of Information (FOI) requests
  • current Subject Access Requests (SARs)

Contact our Data Protection Officer if you have any queries about our retention schedule.
