Personal data
The York Mansion House will be holding a Christmas Event starting November 2022 and running through to December 2022.
Those wishing to attend can complete an online booking form, where they can select a day and time slot and pay the fee. This will be via Eventbrite.
While completing the online booking form, if they would like Father Christmas to greet them by name, people can email first names to email: ymhevents@york.gov.uk within 24 hours of making the booking.

Collecting personal data
We are working with Eventbrite and have an agreement in place with them. You can find their privacy notice online.
We are using the information you give us with your consent. You can withdraw your consent at any time by contacting York Mansion House at email: ymhevents@york.gov.uk.
Once you have made your booking, you will be sent an QR code. This will be needed when you get attend your booking.
Using personal data
We will only run a report on the attendee numbers, to assess on the success of the event. The information we collect will be included in presentations, statistics and reports. Any presentations, reports and statistics for publication or use outside of the authorised council staff, will be anonymised and cannot be linked back to you, your family or individuals.
Reports containing anonymous information may also be shared with the general public and other organisations.
We will not use the information for any other purpose than set out in this privacy notice and will not disclose to a third party, for example other companies or individuals, unless we are required to do so by law for the prevention of crime and detection of fraud, or, in some circumstances, when we feel that you or others are at risk.
Storing data
We will keep the information you give us in CYC’s secure network drive and make sure it can only be accessed by authorised staff.
Retaining personal data
We will keep the information you give us for up to three years and then will securely and confidentially destroy it.
The emails sent to ask Santa to greet them will be deleted within 48 hours following the event .
Where required or appropriate, at the end of the retention period we will pass onto the City Archives any relevant information.
Further processing of personal data
If we wish to use your personal data for a new purpose, not covered by this Privacy Notice, then we'll provide you with a new notice explaining the purpose prior to commencing the processing and the processing conditions. Where and whenever necessary, we will seek your consent prior to the new processing.
